Sanctuary Place Psychology

Privacy notice

This notice explains how the practice handles personal and health information. It should be read with the consent and service information supplied directly to clients.

Information we collect

We collect only information reasonably needed to provide psychological services, administer appointments, communicate with clients, meet professional and legal duties, and issue and retain financial records. This may include identity and contact details, billing details, referral information and health information. Please do not send detailed clinical information through an initial website enquiry.

How information is used and disclosed

Information is used for the purpose for which it was collected and closely related purposes a person would reasonably expect. With consent, information may be shared with nominated carers, referrers, health practitioners, schools, funding bodies or other authorised professionals. Disclosure may also occur where required or authorised by law, including to address a serious threat or mandatory reporting obligation.

Invoices and payments

Invoices use the minimum billing information needed to identify the recipient, describe the service, calculate GST where applicable and maintain taxation records. Diagnoses and therapy notes are excluded unless a payer lawfully requires additional information and the disclosure is authorised. Tax and accounting records are retained for at least the period required by Australian law; clinical records follow the longer applicable professional and health-record retention period.

Security and staff access

Electronic records are protected through authenticated access, role-based authorisation and individual user accounts. Authorised staff receive access only for their duties. Access is removed when it is no longer required. Staff must not use shared passwords, personal email, unapproved cloud storage or personal artificial-intelligence accounts for client information. Suspected privacy or cybersecurity incidents must be reported immediately.

Access, correction and complaints

You may request access to, or correction of, personal information held about you, subject to lawful exceptions. You may also raise a privacy concern with the practice. If a concern is not resolved, you may contact the Office of the Australian Information Commissioner or, where applicable, the NSW Privacy Commissioner.

Data breaches

The practice assesses suspected data breaches promptly, takes steps to contain harm and follows the Notifiable Data Breaches scheme where serious harm is likely. Affected people and the regulator will be notified when legally required.
